Setting up label printing in Pickscan for Linnworks

Before you start
Label printing in Pickscan requires two things from Linnworks:
- The Linnworks Print Service must be installed and running on a computer connected to your printers. You can download it from Linnworks under Settings > Print Service.
- At least one virtual printer must be configured in Linnworks. Pickscan pulls its printer list from Linnworks — it does not detect printers directly.
Label printing from the Pickscan mobile app will not work until you have set both the Default Virtual Printer and the Default Shipping Template in Pickscan settings. If either is left on its placeholder value ("Select a printer..." or "Select a template..."), print jobs will fail silently.
Step 1: Open the Pickscan settings page
- Open Pickscan
In Linnworks, go to Apps in the left sidebar, then open Pickscan.
- Open settings
Click the gear icon (⚙) at the far right of the Pickscan navigation bar.
- Go to Print settings
In the Settings sidebar on the left, click 02 Print to scroll to the print settings section.
Step 2: Set the default virtual printer
- Find the printer dropdown
In the Print Settings section, find the Default Virtual Printer dropdown, labelled "Select the default printer for label printing."
- Choose your printer
Click the dropdown and select the virtual printer you want Pickscan to send labels to.
Refreshing the printer list
If a printer you expect does not appear in the dropdown, click the refresh button (↻) to the right of the dropdown. This re-fetches the current list from the Linnworks Print Service.
If the printer still does not appear after refreshing:
- Confirm the Linnworks Print Service is running on the computer connected to that printer.
- Check that the printer is configured as a virtual printer in Linnworks under Settings > Print Service > Virtual Printers.
- Wait a few seconds and refresh again — there can be a short delay after adding a new virtual printer.
Step 3: Set the default shipping template
- Find the template dropdown
Directly below the printer setting, find the Default Shipping Template dropdown, labelled "Select the default template for shipping labels and invoices."
- Choose your template
Click the dropdown and select the template to use for printed labels. The list shows all shipping label and invoice templates configured in your Linnworks account, along with their type and ID.
A refresh button (↻) is also available next to this dropdown. Use it if you have recently added or changed templates in Linnworks.
Step 4: Save your settings
Click the Save Settings button at the bottom of the page. Settings are not applied until you press Save — if you navigate away without saving, your changes will be lost.
First-run setup wizard
When Pickscan is first installed, a setup wizard guides you through initial configuration. Step 4 of the wizard collects the default virtual printer, default shipping template, and default stock location on a single screen. These work the same way as described above, and any values you set during first-run can be changed later from the Settings page.
Troubleshooting
